What are the Terms & Conditions of the Pickleball Tours?

Deposit & Payment:

A deposit of AUD 500 per guest is required at the time of booking. The final balance is due prior to 60 days before departure. Cancellation by you within 60 days of departure and the tour is otherwise filled, we will refund you the full amount you have paid less $150 service and administration charge. If you cancel and the tour does not fill, then the following refund schedule will apply:

  1. Greater than 60 days from tour departure date full refund.
  2. Less than 60 days: no refund and we will retain the deposit and 100% of total booking costs.

* If the Pickleball tours do not proceed due to COVID-19 restrictions all monies paid will be refunded less any booking payments made to third party suppliers that are not refunded to us. This will occur within the 60-day period before departure. We highly recommend that you have travel insurance, and your policy covers cancellation.

Minimum Tour Numbers:

The tour is based on a maximum of 22 guests and a minimum of 16 guests is required for the tour to proceed. If less than the minimum has booked 60 days prior to departure, Beyond the Lens Tours Pty Ltd reserves the right to cancel the tour, giving a prompt refund of all monies paid or revise the costings and reschedule the tour.

Price and Validity:

Tour costs are based on ground costs, transport costs and fuel prices at time of publishing prices. While we try our utmost not to increase our prices, this is sometimes outside our control. On that basis, we reserve the right to amend our prices although amendments should occur only in the instance of increases in our costs to deliver the tour such as but not limited to transport, fuel costs, government taxes and charges and ground costs. Any increase in price must be paid by you before your departure.

Variation of Itinerary:

Despite any other term in the Terms & Conditions and due to unforeseen circumstances, including though not limited to the direct or indirect consequence of a force majeure event, Beyond the Lens Tours Pty Ltd may vary any aspect of the tour itinerary with little or no advance notice. You will have no right to any refund and Beyond the Lens Tours Pty Ltd will have no obligation to you or be liable for any compensation or damages, for any loss, consequential or indirect damages, expenses, loss of time or inconvenience, loss of opportunity or loss of enjoyment in respect of such changes. Such changes may not be used by you to put forward a claim of any kind to Beyond the Lens Tours Pty Ltd.

Force Majeure:

Beyond the Lens Tours Pty Ltd will not be responsible for the performance of the Tour if prevented or delayed by acts of God, epidemic (together with events naturally arising from an epidemic), government action, strikes, or other industrial relations matters, accidents, weather, traffic, airport conditions, lack of performance by third party suppliers, or other causes beyond their control.

In circumstances of a force majeure event as defined above Beyond the Lens Tours Pty Ltd may, at its absolute discretion:

a) cancel the whole or part of the tour

b) vary the tour itinerary or

c) take any other action that Beyond the Lens Tours Pty Ltd deems reasonably necessary.

Special Requests or Requirements:

Beyond the Lens Tours Pty Ltd will use reasonable endeavours to accommodate special requests from you, including special dietary requirements, but they cannot be guaranteed. You should advise Beyond the Lens Tours Pty Ltd as soon as possible after booking of any such special requests or requirements, such that Beyond the Lens Tours Pty Ltd can try and accommodate them. Likewise, you should notify us, as soon after booking as possible, of any special events.

Travel Documents:

All guests must be in possession of a valid passport with a minimum of 6 months beyond your intended stay overseas. It is your responsibility to ensure you are holding a current Visa for your circumstances, if required.

No passport required for travel within Australia.

Authority of the Tour Leader:

At all times, the decision of the Beyond the Lens Tours Pty Ltd Leader or representative will be final on all matters likely to affect the safety and well-being of tour members, the well-being of communities and the conduct of the tour. This includes any decision that the Beyond the Lens Tours Pty Ltd Leader may make about the guests’ ongoing participation in the tour or certain activities that comprise part of the tour. If the guest fails to comply with a decision made by the Beyond the Lens Tours Pty Ltd Leader, or interferes with the well-being of the group, the Beyond the Lens Tours Pty Ltd Leader reserves the right to terminate your participation in the tour and to require you to leave the tour immediately, with no right of refund and Beyond the Lens Tours Pty Ltd will not be liable for any compensation, costs, damages or losses arising from such termination.

Photographic Consent and Release:

As a guest travelling with Beyond the Lens Tours Pty Ltd, you extend permission to Beyond the Lens Tours Pty Ltd to take your photograph during the tour, and you release all rights over those images without consideration. You understand and consent that Beyond the Lens Tours Pty Ltd may use any likeness taken of you and your comments for future publicity in any media and promotional material. You waive any right to privacy or copyright in respect thereof.

Any guest who does not wish to be photographed must advise Beyond the Lens Tours Pty Ltd in writing prior to the tour commencement.

For us to process your booking and provide a service to you, you are required to provide us with your personal information, which we may need to provide to service providers. Some of the persons to whom we provide your personal information are located overseas, including in countries that may not provide the same level of protection of personal information as required by Australian law. By making a booking, you give us your consent to use and disclose your personal information in the manner described in this clause.

We may also use your first name for marketing purposes, unless you tell us in writing prior to the tour commencement that you do not want us to do so.

Any photographs provided by any guest to Beyond the Lens Tours Pty Ltd may be used by Beyond the Lens Tours Pty Ltd for marketing purposes and showcased on the website in the gallery section, unless advised otherwise by the guest.


If you have any complaints about your tour, you should make them known at the earliest opportunity to the Beyond the Lens Tours Pty Ltd Leader or representative, who will take such action as he or she considers to be appropriate in the circumstances. If at the end of the tour you feel that your complaint has not been properly dealt with, please notify us in writing within 30 days of the end of your trip. Beyond the Lens Tours Pty Ltd reserves its rights to address any such complaints in such manner as it thinks fit.

What if I am single and travelling on my own?

We welcome solo travellers. No matter your age or how experienced a traveller you may be, you will always be welcome on our tours. As a small group tour of like-minded people, you may join as a solo person, but you will soon find yourself travelling with a new group of friends sharing in some wonderful new experiences. By meeting new people who share your passion it ensures camaraderie and a fun time together.

As an added benefit you will have your own room on our tours although you may have to share a 2 or 3-bedroom apartment or equivalent you will have your own private amenities and share the main common areas like a kitchen and lounge. 

As a single traveller, do I have to pay a single supplement?

No.  We don’t impose single supplements on our tours.

What about travel insurance?

Travel insurance is mandatory for any Beyond the Lens Pty Ltd Tours and this must be organised at time of paying a deposit to avoid any issues with your travel arrangements. We strongly recommend your travel insurance has adequate cover for cancellations, curtailment, personal liability, personal accident and medical expenses, loss of luggage and personal effects amongst other comprehensive benefits. If you have travel insurance connected to your credit card, please ensure you have adequate coverage.
